JOB SUMMARY:

This individual answers the multi-line phone system and directs calls to appropriate areas. Greets walk-in traffic in friendly and professional manner. Provides general information in response to public or official inquiries. Uses good judgment, tact, and courtesy when dealing with the public or staff. Understands and follows complex oral and written directions.

ESSENTIAL JOB FUNCTIONS: 

Important responsibilities and dues may include, but are not limited to, the following:

  • Accurately inputs information.
  • Inputs parking fines on student accounts.
  • Releases and applies student restriction holds in Colleague.
  • Verifies account payable checks with invoices and prepare for mailing.
  • Prepares miscellaneous spreadsheets and correspondence.
  • Ability to work with personal computer, adding machine, photocopier, fax machine, and other similar office equipment.
  • Provides back up and assists other Business Office personnel.
  • Performs miscellaneous office duties as needed including folding and stuffing documents for mass mailings.
  • Notifies supervisor of any problems or positive suggestions incurred while performing duties.
  • Performs other related duties as assigned.

QUALIFICATIONS: 

  • High school diploma or equivalent.
  • One year of receptionist/clerical experience or one year of related education or an equivalent combination of education and experience.
  • Personal computer and multi-line telephone system experience.
  • Working knowledge of Word and Excel.
  • Thorough knowledge of modern office practices and procedures. Must pass criminal record check. Must be reliable, prompt, and courteous.
  • Ability to work with staff, students, local and State business and Government officials, and the general public.
  • Ability to work with confidential information.
  • Ability to provide excellent customer service and skill in public relations.
  • Ability to handle business documents and forms.
  • Ability to respond quickly to deadlines and perform a multitude of tasks.
  • Ability to demonstrate correct English usage.
  • Ability to communicate effectively orally and in writing.
  • Ability to operate standard office equipment.
  • Must be able to work flexible schedule.
  • Possess good organizational skills.
  • Possess accurate data entry skills.

EMPLOYMENT STATUS: Expected hours will be 9:00 a.m. – 3:00 p.m., Monday through Friday. Hourly wage will be commensurate with the applicant’s education and experience.

Working conditions:  Requires skills for succeeding in an office environment, using technology.  Requires good hand-eye coordination including visual acuity to use a keyboard and read technical information; arm, hand and finger dexterity, including ability to grasp.

Work is performed in an office setting.  Sit, stand, bend, lift and move intermittently during working hours.  During course of day, interact with students, faculty and staff in person, by telephone and computer.
