JOB SUMMARY:

This position communicates and interprets applications for admission, college program admission requirements, and admission policies to staff, parents, prospective students, and the general public.

Provides prospective students with timely and accurate program information specific to their program goals. Performs daily input and communication in regards to the Customer Relationship Management (CRM), phone, e-mail, walk-in, and scheduling requests.

ESSENTIAL JOB FUNCTIONS:

Important responsibilities and duties may include, but are not limited to, the following:

  • Provides excellent customer service to prospective and current students, parents, and the general public.
  • Coordinates and processes the acceptance of applications for admissions and updates appropriately on Ellucian (student information system).
  • Knowledge of admissions requirements for Hawkeye Community College programs.
  • Creates and updates admission files in accordance to student needs and requests.
  • Collaborates on processes within student information customer relationship management (CRM) systems.
  • Recruits and advises prospective students via college fairs and visits to assigned high schools, conducts individual appointments, and assists with on-campus group visits.
  • Assists walk-ins with requests including address changes, campus visit scheduling, program information, major changes, applications for admission, and transcript requests.
  • Verifies and provides follow-up to students regarding their application status, admissions inquiries and requirements via phone, email, etc.
  • Provides accurate information to prospective and current students, parents, and the general public on Hawkeye Community College’s programs, degrees, application processes, financial aid information, and student referrals.
  • Participates and serves on college and department committees.
  • Analyzes and determines recommendations in collaboration with Director and/or Associate Directors for improvements to policies and procedures regarding admissions.
  • Utilizes student records, reports, uploads prospect leads, and enters data in order to complete various tasks and job duties.
  • Hires, trains, and assigns tasks to work study students.
  • Performs other related professional duties as assigned.

QUALIFICATIONS:

  • Bachelor’s degree with one year relevant experience or equivalent combination of education and experience.
  • Ability to learn a variety of computerized office systems in order to process all facets of recruitment and admission procedures.
  • Ability to work with staff, prospective students, current students, and the general public while projecting a positive professional image.
  • Ability to exercise professional judgment and make appropriate adjustments regarding student recruitment and admission processes.
  • Ability to work with diverse groups, faculty, staff, and students.
  • Demonstrated organizational skills.
  • Experience with Microsoft Word, Excel, Outlook, and Access. Proficient with Outlook calendar management.
  • Ability to handle confidential information.
  • Ability to multi-task. 
  • Ability to provide excellent customer service.
  • Ability to communicate effectively orally and in writing.
  • Ability to work flexible schedule to include, on occasion, evening and weekends.
  • Valid driver’s license, insurable.

PREFERENCES:

  • Ellucian experience.
  • Experience with a Customer Relationship Management (CRM) system.
  • Customer service experience.
  • Experience in college admissions and/or working with college students.
  • Community college graduate.
