JOB SUMMARY:
This position coordinates and processes CollegeNow! admissions application information and course registration. Monitors Guest Student registration and general registration. Coordinates and develops recruitment procedure for converting Guest Students to regular Hawkeye Community College students.
ESSENTIAL JOB FUNCTIONS:
Important responsibilities and duties may include, but are not limited to, the following:
- Organizes and completes the registration of Contracted and Project Lead the Way (PLTW) students.
- Processes the appropriate test score requirements for CollegeNow! students.
- Works in cooperation with the CollegeNow! staff concerning the academic standing (probation and suspension) of high school students.
- Develops and sends a variety of correspondence via Communication Management or CRM.
- Develops and monitors Guest Student Intent to Register via the College’s website.
- Assists and processes transcript requests, enrollment verifications, address changes, loan deferments, DOT requests, military documentation requests, registration, lending institutions, and other requests.
- Maintains records/files in accordance with FERPA.
- Conveys and interprets college requirements.
- Provides assistance to the Manager of Records and Registration and performs those duties in the Manager’s absence.
- Utilizes Ellucian, microfilm, reports, catalogs, and other data to assist students, staff, employers, and the general public.
- Works in collaboration with the College’s webmaster to develop web based information related to Guest Students and registration.
- Hires, trains, and evaluates student employees.
- Assists with scanning and maintaining student records in File Director.
- Interprets standardized test scores, including ACCUPLACER, COMPASS, ACT, SAT, and interprets prerequisite requirements to assist students with appropriate course placement.
- Attends new student registration/orientation sessions to serve as a resource on general registration procedures.
- Serves on college committees.
- Updates the departmental website on My Hawkeye.
- In the absence of the Manager of Records and Registration, oversees records and registration staff including but not limited to leave requests, scheduling, and front desk.
- Performs other related professional duties as assigned.
QUALIFICATIONS:
- Bachelor’s degree with one-year relevant experience or equivalent combination of education and experience.
- Ability to learn a variety of computerized office systems to prepare transcripts and register students.
- Ability to work with staff, students, business and government officials, and general public while projecting a positive professional image.
- Demonstrated commitment to customer service.
- Demonstrated organizational skills.
- Ability to work with diverse student populations.
- Working knowledge of the Family Educational Rights and Privacy Act (FERPA).
- Ability to respond quickly to deadlines and perform a multitude of tasks.
- Ability to communicate effectively both orally and in writing.
- Ability to exercise professional judgement.
- Ability to work with confidential information.
- Ability to maintain and prepare records and reports.
- Ability to work effectively in a collaborative team atmosphere.
- Ability to work flexible schedule.
PREFERENCES:
- Ellucian or other management system experience.
- CRM Experience
