Secretary - Regional Transportation Training Center

JOB SUMMARY: This individual provides office support to Coordinator, shuttle drivers, instructors, and students. Arranges transportation for students. Performs support duties, which include typing, filing, answering telephones, scheduling appointments, and assisting staff and students. Types reports and documents, composes letters and forms. Answers general program questions in response to public inquiries. Prepares and enters program data into the computer and runs reports as necessary. Completes purchase orders/requisitions as needed. Answers multi-line telephone and provides courteous professional contact with the public, students, businesses, etc. Maintains effective and efficient flow of communication information through calendars, correspondence, memos, telephone messages, and office records. Insures that correct distribution and disposition is made of complaints, notices, publications, memoranda, directives, and related materials. Orders in-house supplies as needed. Proofreads reports, policies, handbooks, etc. Operates, maintains, and instructs others on how to use general office equipment. Prepares spreadsheets and other documents as needed. Oversees general office and program operations in Coordinator’s absence. Performs other related duties as assigned.
QUALIFICATIONS: High school diploma/GED. One year secretarial training and one year office experience in word processing, spreadsheets, database and desktop publishing and/or equivalent combination of education and experience. Working knowledge of general office practices, procedures and standard office equipment. Ability to work with confidential information. Ability to communicate effectively both orally and in writing. Ability to understand and follow complex oral and written directions. Ability to accurately type at least 40 wpm net. Ability to work with diverse groups, faculty, staff and students. Ability to maintain and prepare records and reports. Ability to work on multiple tasks while performing receptionist duties. Demonstrated commitment to customer service. Preferences include an Associate’s Degree in Business or related field.
EMPLOYMENT STATUS: Part-time position with wages expected to be $11.32 per hour. Anticipated hours will be five to eight hours per day between the hours of 7:00 a.m. to 5:30 p.m., three to five days per week (Monday through Friday).
